1. Who we are
LoopBudz ("we," "us," "our") provides email marketing, loyalty, and wallet-card software for licensed cannabis retailers. This policy covers two things: information we collect through this website, and information we process on behalf of the dispensaries that use our platform. Our services are business-to-business tools intended for licensed businesses and users aged 21 or older.
2. Information we collect on this website
This website does not require an account and does not include forms that silently harvest data. We collect:
- Contact information you send us. If you email us to book a demo or ask a question, we receive your email address and whatever you choose to include. We use it to respond to you and, if you become a customer, to run your account.
- Basic technical data. Like nearly all websites, our hosting infrastructure records standard server logs (IP address, browser type, pages requested) used for security, debugging, and aggregate traffic understanding.
We do not sell website visitor data, and we do not run third-party advertising trackers on this site.
3. Information we process for our dispensary customers
When a dispensary uses our platform, it connects data sources such as its point-of-sale system, e-commerce menu, or existing marketing platform. That data can include the dispensary's customer records (names, email addresses, phone numbers, loyalty balances, and purchase history) along with product catalog and transaction data.
For this data, the dispensary is the data controller and we act as a processor on its behalf. In plain terms: it is the store's customer list, not ours. We use it only to provide the services the store has purchased: sending campaigns, maintaining loyalty balances, updating wallet cards, and reporting results back to the store. We do not sell it, rent it, share it across customers, or use one store's customer data to benefit another store.
4. Email recipients and wallet-card holders
If you have received a marketing email or hold a wallet card from a dispensary that uses our platform, that dispensary is responsible for having obtained your consent. Every marketing email we deliver includes a working one-click unsubscribe; unsubscribing is honored immediately and enforced at send time. Wallet cards can be removed from Apple or Google Wallet at any time from your device, which stops future pushes to that card. To have your data corrected or deleted, contact the dispensary directly, or email us and we will route the request to them.
5. Cookies
This marketing site aims to be functional without invasive tracking. Any cookies used are limited to essential site functionality and basic, privacy-respecting analytics. We do not use cross-site advertising cookies.
6. How we protect data
Platform data is protected with industry-standard measures, including encrypted transport (TLS), authenticated and signed API integrations, per-customer access keys, and audit logging of sensitive operations. No system is perfectly secure, but we design so that a problem in one customer's account cannot spill into another's.
7. Data retention and export
We retain platform data for as long as the dispensary remains a customer and for a reasonable wind-down period afterward. Customers can export their contacts and data at any time. Portability is a product commitment, not a support ticket. Server logs are retained on rolling schedules and then deleted.
8. Sharing with service providers
We use a small set of infrastructure providers (hosting, mail delivery, wallet-pass distribution via Apple and Google) to operate the service. They process data only as needed to provide their function to us. We disclose data if legally required to do so, and we will notify affected customers when the law permits.
9. Your rights
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information. Email us and we will honor valid requests: directly where we are the controller, and by coordinating with the relevant dispensary where we are the processor.
